A Simple Follow Up Playbook for Service Businesses

You don't need a complicated automation stack to fix follow up in a service business. You need three things running reliably.

1. Appointment confirmation

Send a reminder the night before and the morning of every appointment. Include the time, the location or call link, and a clear path to reschedule. Make rescheduling easier than ghosting. This single automation reduces no-shows more than any sales script.

2. No-show recovery

When someone misses, don't write them off and don't have the agent send the same "missed you today" text. Run an automation that books a recovery call within the next 48 hours and explicitly offers a different time slot. Half of no-shows aren't lost, they're poorly followed up on.

3. The 30-day check-in

After a job is done, after a policy is placed, after a coating is applied, schedule a 30-day check-in automatically. This is where referrals come from, recurring accounts get set, and trust gets reinforced. Most service businesses skip this entirely and then complain that referrals are slow.
